What is Visitor Aware?

Visitor Aware is a comprehensive visitor management system designed to enhance school security by efficiently tracking and managing visitors, volunteers, and student check-ins.

It ensures that all visitors are screened, authorized, and logged before entering the campus, helping schools maintain a safe environment.

Key Features

Visitor Check-In

Allows visitors to check in using their ID and captures their details in the system.

Student Pick-Up

We can verify who is authorized to pick up students, reducing the risk of unauthorized individuals accessing the campus.

Emergency Notifications

In case of emergencies, the system provides real-time notifications to administrators and staff, ensuring a coordinated response.

Tracking and Reporting

Visitor Aware keeps a digital log of all visitors, providing easy access to historical data and reports when needed.

Check-in/Check-out Guidelines for Parents

At our school, we strive to make the check-in and check-out process smooth and secure for everyone. Our goal is to ensure that your children are safe while keeping things simple and convenient for you. Below is an overview of what to expect and how you can help us make this process as efficient as possible.

What is the check-in/check-out process?

For Check-In: When you arrive at the school, please check in using the Visitor Aware system at the front desk. If you’re here to pick up your child, we’ll use this system to confirm your authorization quickly and securely.

For Check-Out: Make sure you’re listed as an authorized person in our system (Visitor Aware) or RenWeb. If there are any issues or if your name doesn’t appear, we’ll kindly help verify your details before proceeding.

What If Someone Else is Picking Up Your Child?

If someone other than you (or another authorized person) is picking up your child, here’s how we ensure their safety:

Authorized Pick-up List: Please make sure that the person is listed in RenWeb, which is the system we use to approve pick-up contacts. You can update this list at any time, but please note that it may take a bit of time for these changes to take effect.

If They’re Not on the List: If the person picking up your child isn’t currently authorized, we’ll do our best to assist by contacting you directly for confirmation. However, for future pick-ups, please remember to update RenWeb first.

Delays in the System:
We understand that sometimes information isn’t updated immediately. If you’ve recently added or removed someone in RenWeb, please allow for a short processing time before the changes reflect in Visitor Aware.

What If I Forget My ID?

We understand that things happen! If you forget your ID, don’t worry—just let the receptionist know, and they’ll assist you by verifying your identity using the information we have on file. This might take a little extra time, but we’ll work with you to make sure the process is smooth.

What If There's An Emergency?

In rare cases where a last-minute pick-up is necessary, and there’s no time to update RenWeb, we ask that you contact the front office directly. While we aim to be flexible in emergency situations, ensuring student safety will always be our top priority.
