Privacy Policy

Confidentiality Agreement While employed by WCCS, employees may have access to confidential and sensitive information relating to students, parents, donors, applicants, employees, financial records, and other institutional matters. Such information is the sole property of WCCS and must be protected in accordance with this policy and applicable law. 

  1. Duty to Safeguard. Employees shall safeguard confidential information by: a. Securing records and electronic data when not in use; b. Using reasonable administrative, technical, and physical safeguards while information is in use; and c. Following WCCS document retention, access-control, and disposal procedures. 
  2. Authorized Access and Use. Access to confidential information is limited to employees who have a legitimate business need and appropriate authorization. Employees shall not request, access, review, copy, or disclose confidential information without such authorization. Use of confidential information is permitted only for legitimate WCCS business purposes and in 12 compliance with applicable policies and laws. 
  3. Disclosure. Confidential information may be disclosed only: a. To authorized WCCS personnel with a legitimate business need to know; b. As required or permitted by law (for example, pursuant to a court order, subpoena, or mandatory reporting obligation); or c. With the prior written approval of an authorized WCCS administrator.
  4. Electronic Information and Systems. Employees must comply with WCCS information-security and acceptable-use policies governing electronic communications, passwords, encryption, and remote access when handling confidential information.
  5. Third-Party Requests. All external requests for confidential information (including from parents, vendors, government agencies, or attorneys) must be referred to the designated WCCS administrator. Employees must not respond to such requests without prior authorization.  This includes camera footage. 
  6. Return or Destruction. Upon separation from employment or upon request, employees must return or securely destroy all WCCS information, confidential or not, including copies in any format, in accordance with WCCS procedures.
  7. Duration of Obligation. The duty to maintain confidentiality survives termination of employment and remains in effect for as long as the information retains confidential status under WCCS policy or applicable law.
  8. Violations and Consequences. Violations of this confidentiality obligation may result in disciplinary action up to and including termination of employment, restitution, and civil or criminal liability where applicable.
  9. Conflicts with Legal Obligations. If an employee believes that compliance with this policy would violate law or a legal obligation, the employee must promptly notify the designated WCCS administrator for guidance before disclosing any confidential information. 
  10. Acknowledgment. By accepting or continuing employment with WCCS, employees acknowledge that they have read, understand, and agree to comply with this confidentiality policy.
